Position Purpose:

Reporting to the Vice President for Philanthropic Advancement (VPPA), the Philanthropy Assistant serves as a key member of CFSC’s philanthropy team. This position increases the capacity of the team by supporting its work in engaging a variety of community stakeholders including donors, prospective donors, professional financial advisors, nonprofit staff and volunteers, and community leaders. The Philanthropy Assistant provides essential communications, data management and clerical support. They will also provide general office support with select administrative tasks. This is a part-time role.

 

Primary Duties and Responsibilities:

VPPA Support

  • Schedule Department meetings.
  • Manage Advancement Committee calendar.
  • Schedule cross-department meetings and external meetings.

 

Fundraising & Philanthropic Services Support

  • Provide excellent customer service for technical and administrative needs, including prompt replies to queries and following up on administrative details.
  • Manage department phone line and email accounts, forms and calendars, and respond to inquiries promptly and professionally.
  • Manage donor tax and acknowledgement letters and collaborate with advisors and other colleagues to identify and generate special donor acknowledgments as needed.
  • Identify and capture pertinent information during gift entry process, updating records within the CRM to preserve data integrity, reflect donor preferences and ensure the confidentiality of gift and associated donor records.
  • Create and maintain accurate constituent, action, and fund records in the CRM, including name and address changes to ensure profiles are up to date.
  • Support advisors with the creation of individual giving plans and researching nonprofit organizations.
  • Assist in updating philanthropy dashboards and reports.
  • Support donor and organizational communications with mailing list management.
  • Process and route mail.

 

Communications and Event Support

  • Assist with CFSC events in partnership with Philanthropic Services Advisor and Communications Manager; help secure venues and caterers, assist in creating related communications material, invitation lists, and track RSVPs.
  • Assist Philanthropic Services Advisor in creating donor briefings in advance of meetings and events.
  • Assist Philanthropy & Grants Associate in preparing fundraising history reports and dashboards.

Skills and Qualifications Required to be Successful in Role:

  • Minimum two years of related experience (paid or unpaid).
  • Post-secondary education in a related field is preferred; however, equivalent professional experience in a similar or related role will also be considered.
  • Strong organizational skills and attention to detail.
  • Strong customer service ethic; personal warmth and sincerity.
  • A track record and genuine interest in providing high level support to a variety of stakeholders and team members with a focus on responsiveness, quality and compassion.
  • Ability to multi-task, problem-solve, and meet deadlines in a fast-paced environment.
  • Computer proficiency including strong Microsoft Office skills and an understanding of databases and project management tools.
  • Ability to create and modify documents using Microsoft Word, Excel, PowerPoint, SmartSheet, and other software.
  • Positive, professional, team-oriented attitude.
  • Excellent interpersonal skills and ability to work collaboratively and independently.
  • Excellent writing, communication, and listening skills.
  • Possesses professional integrity and sensitivity with the ability to work with highly confidential information.
  • Commitment to diversity, equity, inclusion, and belonging.
  • US work authorization (required).

 

Physical Requirements:

  • Movement within an office environment.
  • Ability to write by hand and use keyboard extensively to perform general office functions.
  • Ability to communicate by speech and hearing continuously.
  • Visual acuity needed for close detail work and computer use.
  • Ability to sit for extensive periods of time.
  • Ability to bend and pick up items occasionally.
  • Ability to lift 15 pounds occasionally.
  • Quiet to moderate noise environment.
  • Ability to travel locally.

 

Compensation:

  • $27 – $30 an hour
